The terms for using RC Management for church staff, council members, and congregation members.
Effective date: October 16, 2026
These terms are an agreement between you and RC Management Systems, LLC ("we," "us," "our") about your use of RC Management, including the web application and the RC Management mobile app (together, the "Service"). They also serve as the end user license agreement for the Service. By creating an account or using the Service, you agree to them. If you use the Service for a church, you confirm you are authorized to accept these terms for that church.
RC Management is church administration software used by church staff, council and committee members, and administrators. You must be at least 18 years old to use it. The church that signs up (the "Church") is our customer, and is responsible for the people it invites to use its account.
Do not use the Service to break the law, to send spam or unwanted messages, to attempt to reach another church's data, to interfere with or overload the Service, to probe it for weaknesses without our written permission, or to copy, resell or reverse engineer it. We may suspend an account that does.
Parts of the Service work with other companies' services, including Stripe (online giving and subscription billing), Mailgun (email), a telecom provider (text messages), SurePayroll (optional payroll), and, if your Church chooses to connect them, QuickBooks Online and Xero. Those services have their own terms and privacy policies, which apply when you use them. We are not responsible for their availability or conduct.
Connecting QuickBooks Online or Xero is optional. When you connect, you authorize us to send your Church's accounting entries (such as contribution deposits) to your account there and to read the list of accounts needed to match them. You can disconnect at any time from the Accounting Sync page, and you can also remove the connection from within QuickBooks or Xero. QuickBooks is a trademark of Intuit Inc. Xero is a trademark of Xero Limited. We are not affiliated with or endorsed by either company.
The Service helps your Church keep its own records: giving, ledgers, budgets, bills, pay tracking, meeting minutes and reports. It is not accounting, tax, legal or payroll advice, and it does not file anything on your behalf. Amounts, statements and reports are only as accurate as the information entered, and the Church is responsible for reviewing them and for its own filings and compliance.
If the Church uses text messaging, it is responsible for obtaining and keeping each recipient's consent, honoring opt-outs, and following the rules that apply to its messages. See the Text Messaging section of our Privacy Policy for how we handle opt-in and opt-out.
We own the Service, including its software, design and branding. These terms give you a limited, non-exclusive, non-transferable right to use the Service for your Church's own purposes while you have an active account. You may not remove notices or use our name or logo without our permission.
We work to keep the Service running and your data safe, but we do not promise it will always be available or error-free. We may update, add or remove features. If we make a change that materially reduces what a paid plan offers, we will tell you in advance.
You can stop using the Service at any time. We may suspend or end an account that breaks these terms or puts the Service or other customers at risk, and we will tell you why when we can. After an account ends, we keep and then delete Church Data as described in our Privacy Policy.
The Service is provided "as is" and "as available," without warranties of any kind, to the fullest extent the law allows. To the fullest extent the law allows, we are not liable for indirect, incidental, special or consequential damages, or for lost data, income or profits, and our total liability to you for anything related to the Service is limited to the amount you paid us in the 12 months before the claim. Some places do not allow these limits, so they may not fully apply to you.
The Church agrees to cover losses we suffer because of claims that come from the Church's Church Data, its instructions to us, or its breach of these terms, to the extent the law allows.
We may update these terms from time to time. Material changes will be posted here with an updated effective date, and continuing to use the Service afterward means you accept them.
